About The Role

Key Responsibilities

In this role you will be supporting both the Travel and Expenses and Global Mobility Managers.  You will provide first-class administrative support to Both T&E and GM, with an excellent customer service focus enabling you to interact well with both internal colleagues at all levels and external service providers. You will also have excellent organisational skills with high attention to detail and accuracy.  Proven track record of working in a face pace environment and being able to prioritise your workload across both T&E and GM.

Professional Skills

  • 4+ years of administration experience essential
  • Proactive with ability to juggle many tasks
  • Ownership of issues until point of resolution
    Work well in a busy environment
  • High level of flexibility, energy, and commitment
  • Excellent customer service and organisational skills
  • Excellent communication skills both written and verbal
  • An understanding of the dynamics required for working within a small team
  • High attention to detail and accuracy
  • Have strong integrity and fairness in dealing with people
  • Ability to communicate clearly both orally and written
  • High level of discretion and confidentiality
  • Confident in Excel and Power Point use

Global T&E Administrator

  • Management of the Travel Smart Inbox
  • Working directly with all our suppliers to assist with all travel related queries
  • Assist with Emergency Travel/Cancellations/Changes
  • Cost control
  • Data feed file management
  • Participate in supplier reviews
  • Policy implementation
  • General Administration

Global Mobility Administrator

  • Assisting with administration for the end-to-end relocation case management, including:
  • Basic queries from employee/internal HR and global vendors,
  • Preparation of assignment letters
  • Payment instructions to HR Ops
  • Updating case information on the GM tracker as required, and tracking any outstanding actions
  • Assisting with the collation of required documentation for immigration packs
  • Collating data for cost estimates
  • Initiating service providers, as needed
  • Manage and execute the bookings for services including flights, hotels, short-term accommodations and airport transfers
  • Running ad hoc and regular reports as needed
  • Assisting with the global vendor billing as required, ensuring payments are paid on time
  • Keeping system records for billing, customer experience, feedback etc up to date and correct
  • Creating reports as and when requested
