About The Role

Role Purpose    

The role of the Front Desk Executive for the Manila business is responsible for the delivery of a proactive and flexible reception and administrative support in the designated office in Manila (W Mall). Working closely with the facilities team to provide professional, commercial, timely and accurate support to the business. The Front Desk Executive will be the first point of contact for the meeting and greeting of all visitors and colleagues in Entain Manila

The Front Desk Executive reports into the Facilities Supervisor and helps to maintain an excellent level of customer service and being fully compliant with business guidelines.


Key Responsibilities

  • Answer external and internal telephone calls, transferring calls as appropriate, taking and delivering messages by email efficiently and accurately, locating all key individuals when calls are urgent
  • Greet all persons who visit our office in a friendly professional manner ensuring that all security requirements are completed and they are directed to the correct destination as required
  • Provide general administrative and clerical support including distributing incoming post, deliveries & preparing outgoing courier mail
  • Prepares access cards and corporate IDs to visitors and employees
  • Assist in managing and monitoring the CCTV and security access control
  • Conduct voice over for special announcement
  • Manage meeting rooms, lounge area by maintaining thru calendar booking.
  • Co-ordinate meetings and training which will include preparation of the room ensuring guests have all that they need during their meeting/visit and that the room is cleared and fit for purpose after the meeting/event.
  • Monitor and maintain office equipment ensuring sufficient stock of ancillary items related to their operation and placing orders and receiving deliveries, verifying invoices and processing them for payment
  • Reporting any service issues (hard and soft services) to facilities and following up to support in maintaining the office to a high standard
  • Updating the FM monitoring tool (tracker)
  • Liaising with cleaners making sure the office areas are kept clean and tidy, rooms sufficiently prepared for meetings and maintaining room calendar bookings which are visible to other users
  • Knowledgeable in taking travel arrangements including booking flights, hotels and airport transfers (car transfers) for guests, VIPs, etc.
  • Updating and maintaining employee contact lists and the intranet on a timely basis to ensure accuracy of information (i.e. Jira, telephone directory etc)
  • Ad-hoc duties such as key management, logistics, ERT,  scanning/ filing documents as requested by the manager and supervisor

Qualifications and Educational Requirements

  • College Graduate

Specialist Skills and Experience Required

  • Excellent customer service and people interaction skills
  • Ability to prioritise workload, work flexibly and in a time pressured environment
  • Excellent communication skills, both written and verbal
  • Proven ability to communicate effectively at all levels of the company with diplomacy and tact
  • Previous experience of working as a Receptionist /Office Assistant or similar level with a high degree of customer engagement
  • Good working knowledge of MS Office including Excel and Word and PowerPoint
  • Excellent organisation skills with evidence of using planning and prioritisation processes to deliver on responsibilities assigned
  • Excellent administrative skills
