Role Purpose:

The Workplace Administrator is responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency.

The role is part of the business support function and reports into the Managing Director of NCH.

Key Responsibility: 
  • Management and monitoring of contracts and procurement including pest control, catering, intruder/fire alarms, utilities, hygiene, cleansing, waste disposal and key holding among others.
  • Manage travel arrangements, hotel accommodation and VISA processing for key employees
  •  First point of contact for NCH in terms of coordination with building administration and contractors for facility-related activities such as CCTV review, security and building access, carpentry, car parking provisions, workstation and connectivity requirements, office permits and licenses and other special projects
  • Responsible for the central procurement of office equipment, supplies (may include vendor relations for IT equipment), postal and stationery, furniture and printing.
  • Deliver a customer focused service to employees and set performance standards for office services and ensures that such standards are attained.
  • Manage relevant external contracts ensuring value for money and regularly appraising against the market and alternative methods of delivery.
  • Active involvement in the site business continuity planning process and adherence to ISO standards
  • Review and analyze any new legislation that will impact upon the provision of facilities and office services, ensuring we are compliant with the policies and procedures, statutory and regulatory requirements.
  • Arrange regular safety checks of all office equipment, safety lighting, fire alarms and fire exits
  • Assist in managing the internal telecommunications system with IT team, advising of number changes, updating of telephone list notifying of new additions/deletions
  • Ensure contracted cleaning personnel are clear about expected standards of performance,
  • To ensure that effective and appropriate Health and Safety policies and procedures are in place which meet legal requirements, best practice and organizational objectives
  • Investigate and respond accordingly to any reports of faults, breakdowns to office equipment and call outmcontractor if required and oversee that work is done
  • Arrange for general maintenance of office equipment, fixtures and fittings as necessary
  • Maintaining Health and Safety records for inspection by local authorities
  • Organize and assist with office moves and project monitoring from start to finish
  • Perform any other duties as assigned and required.
 
Qualifications and Educational Requirements:

  • A leader that mentors and develops the team by; providing development, coaching, objectives and goal setting, performance management and other people policies as required ensuring the team is motivated, productive and fully compliant with all regulations and legislation.
  • Must possess a bachelor’s degree, any field.
 
Specialist Skills and Experience Required:
  • Substantial work experience of at least 3 years in a similar role
  •  Good communications skills (written, verbal and presentational)
  • Knowledge of the local health, safety and welfare statutory regulations
  • Excellent organizational skills, ability to prioritize and delegate tasks
  • Proficiency in MS Office (e.g Word, Excel, Outlook etc.)
  • Decision-making and problem-solving skills and can work with minimum supervision
  • Strong analytical skills and detail oriented
  • Ability to ensure that the highest standards of quality and customer care are achieved
